Privacy Policy

The European Academy of Andrology (EAA) respects the right to privacy protection of the personal information submitted voluntarily by the members and associates of the society, as well as by authors, reviewers and editors of the official journal, Andrology, jointly published by EAA, the American Society of Andrology (ASA) and John Wiley & Sons (Wiley).

This Privacy Policy statement describes what kind of personal information is collected during the EAA member registration and other activities, and during operation of the journal Andrology. The Policy explains how this information is used, how you can correct or update the personal data, and what steps will be taken to safeguard the personal data. By submitting your information to EAA website or membership account, registering to an EAA-endorsed meeting or course, or submitting a manuscript to the Andrology portal powered by ScholarOne system, you consent to the practices described in this policy.

The policy statement has been revised in May 2018 and updated in March 2021, in accordance with the General Data Protection Regulation (GDPR) of 27 April 2016 (‘the Regulation of the European Parliament and of the Council on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC”). We reserve the right to modify this statement in the future.

Collection of information

Personal identification data are obtained when you voluntarily choose to provide them by applying for EAA membership, by using the society’s website, by submitting a paper to Andrology or by serving as a reviewer or editor of the journal. The type of personal information we may collect include: your name, birth date, postal address, e-mail address, phone number, URL, occupation, employment information, username andpassword, and occasionally also identifiable photographs. Acceptance as an EAA member (Academician or Regular Member) will include storing these data in the member’s database. Submitting a paper to Andrology will automatically places all authors’ names, affiliation and e-mail addresses in the ScholarOne system’s database for potential use during the next submission or by editors for search of reviewers. If you accept to serve as an editor or reviewer, you will be asked to provide the same personal information as the submitting authors, and to provide additional information on your expertise and research interests.

Use of information

The EAA and Andrology may use the personal identifying information to create and manage your membership account, to contact you for professional or membership matters and to provide information, which is a part of the EAA services, including: society newsletters, special events and meetings, available grants, fellowships, table of contents of Andrology, alerts on significant research developments or publications,  and other communications we believe might be of interest.

Disclosure and sharing of information

The EAA will not disclose or share your personal information with any unaffiliated third party, except in response to lawful requests by public authorities or law enforcement requirements. The EAA does not and will not sell any personal information for commercial use, including companies servicing medical specialists. The EAA will share your personal information with the publisher of Andrology (Wiley) to ensure your access to the journal, which is one of the benefits of the EAA membership.

The society’s website may feature blogs, communications and information which may use your name, affiliation and photographs from society events, e.g. congresses, meetings, courses, examinations. Although most of this information is protected by member’s password, please be aware that some of this information may be publicly available or shared by other members.

How we protect personal information

We will implement appropriate physical, technical and administrative safeguards to protect your data from unauthorised processing or accidental loss. The administrative staff will comply with current data protection laws and all staff members have signed confidentiality agreements. Access to your personal data is restricted to the EAA administrators, elected Officers and Executive Council. Some limited personal information, including your name, email address or photograph is restricted to other EAA members, who must use passwords. The personal data of users of Andrology (authors and reviewers) is only seen by the Editors and Editorial Office as well as administrative and technical staff of the publisher (Wiley). In addition, we train our administrative and technical staff about the importance of maintaining the confidentiality and security of your information.

Access and correction of personal data

To exercise your right to correct or update your personal membership profile, you can do so directly using an interactive mode protected by a unique password. For other matters (e.g. sending grant applications or resumés) you can contact the administrative staff of the EAA or designated Officers. If you are a user of Andrology, you can correct your personal information at any time using your unique username and password. Please be aware that the transmission of information online is not always completely secure.

Your rights

You have the right to make a written request to be informed whether or not we hold or process any of your personal information (by e-mail to office@andrologyacademy.net). You may ask the EAA administration to correct any errors in your personal information or to request that we delete your personal information if you are no longer an active member of the Society. You may also request that we transfer your personal information to a third party.

Governing law

This Privacy Policy shall be exclusively governed in accordance with the laws of the European Union.
